Private, on-premise AI · small businesses & schools

AI that never leaves the building.

EnCasa Tech builds private AI assistants that run on hardware you own, answer from your own documents, and never send a word to the cloud — along with the network, workstations, and support that keep the rest of your operation running.

How the in-house AI assistant works A chalk drawing of a low, wide campus building with a raised clerestory band. Inside it, your documents feed a local AI machine that answers to staff devices. Outside the building sits the internet, its connection stopped at the wall — nothing crosses the line. your network your documents local AI machine staff devices runs on hardware you own answers, grounded in your own files the internet nothing crosses this line — and nothing depends on it

the whole idea, on one board · reachable only inside your walls

What we build

An assistant that knows your paperwork, not the internet.

Your office staff ask plain-language questions — “what’s our early-dismissal procedure?”, “which form does a new hire fill out first?” — and get answers pulled directly from your own policies, forms, procedures, and records. The assistant lives on a machine inside your building, reachable only from devices on your local network.

Nothing typed into it, and nothing it reads, ever leaves the building.

The model

A language model runs locally, on an on-site machine — not in the cloud. Because it’s fully self-contained, it keeps working even when your internet connection doesn’t.

The access

Staff reach it through a simple web page on your internal network, the same way they’d reach any other internal tool. Multiple staff accounts, no per-user licensing.

The answers

Your documents are loaded into a private search index, so responses are grounded in your actual content — not general internet knowledge, not guesswork.

The scope

It’s deliberately fenced in: it answers questions about your organization’s documents and procedures, and declines to speculate about anything else. A tool that knows its job.

What you gain

  • Complete data privacy. Student, client, and personnel records never touch a third-party server.
  • No recurring fees. Built on freely available tools running on hardware you own — no per-seat subscriptions, no usage billing.
  • Answers you can trace. Every response comes from a document you can point to.
  • Room to grow. The underlying model can be upgraded over time without redesigning the system.

What you avoid

  • Sensitive records sitting on an outside AI company’s servers, under someone else’s retention policy.
  • Being locked into one vendor’s platform, pricing, or roadmap.
  • Subscription and API costs that scale up as your staff actually use the thing.
  • Downtime caused by someone else’s outage — and a general-purpose chatbot confidently answering things it has no business answering.

Also on the truck

Everything around it.

A private assistant is only as good as the building it lives in. If needed, we can handle the infrastructure it rides on — and the rest of your technology while we’re at it.

Networking

Wiring, Wi-Fi, and the closet

New drops, switches, and wireless coverage that actually reaches the back room — the quiet plumbing that your point-of-sale, your classrooms, and your assistant all depend on.

Workstations

Builds and refreshes

Front-desk machines, office workstations, and classroom refreshes — specced for the work being done at that desk, not for a spec sheet.

Ongoing support

We stay reachable

Most of our clients have no in-house IT — that’s the point. We set things up to run without babysitting, and we’re a call away when something changes.

How we work

Visit, plan, build, support.

Visit

We walk your building with you — where people work, where the wiring runs, what’s slow, what’s sensitive. On-site and hands-on is the whole model.

Plan

You get a plain-language proposal with real numbers: what we’d build, what it costs, and what it replaces. No jargon, nothing padded.

Build

We install and configure everything on-site, test it with your staff, and hand it over documented — so it’s yours, not a mystery box.

Support

We stick around after the install. Questions, changes, growth — you have a person, not a ticket queue.

For schools

Student records are the hardest case. Good.

Charter schools and small campuses handle some of the most sensitive records anywhere — which is exactly why an assistant that keeps everything inside the building fits. One up-front project cost instead of a per-seat subscription also tends to sit better with a school budget cycle. We’re happy to write proposals in the language your board and procurement process expect.
